Monthly Report Automation.
One recurring report, automated end to end
We built a focused tool that replaced a recurring manual spreadsheet report — importing the data, applying the team's own formatting rules, and sending the finished report on a schedule.

Overview
Giving back a day lost to one spreadsheet.
An operations team produced the same management report every month by hand — exporting data from two tools, pasting it into a spreadsheet, reformatting it, and emailing a PDF to the leadership team.
It worked, but it swallowed the best part of a day, broke whenever a source column moved, and only one person really knew how to do it.
- A full day of manual copy-paste and reformatting every month
- Errors whenever a source export changed shape
- Key-person risk — one person owned the whole process
- No consistent format or reliably on-time delivery
The goal was deliberately small: automate this one report end to end, and nothing more.
Experience flow
From raw export to a report in the inbox.
The solution
A single-purpose reporting tool.
We built one focused tool that owns the monthly report from data to delivery — no dashboard to learn, no new system to adopt.
Core components
Three small pieces do one job between them: get the data in, shape it the way the team already does, and send it out on time.
-
01
Data import
Input
Imports the monthly exports from the team's existing tools
Validates the shape so a moved column fails loudly, not silently
Takes a file upload, or a direct connection where one exists
-
02
Report builder
Logic
Applies the team's own formatting and calculation rules
Produces the same clean layout every month
Flags anything that looks off before the report goes out
-
03
Scheduled delivery
Delivery
Generates the finished PDF automatically
Emails it to the leadership list on a set schedule
Keeps every past report in one place
Stack used
- TypeScript
- Node.js
- Next.js
- PostgreSQL
- Prisma
- Redis
- Python
- Playwright
Implementation approach
Phased delivery.
-
01
Map the existing report
Sat with the person who runs it and captured every step, rule, and edge case in the current spreadsheet process.
-
02
Build the tool
Implemented the import, the formatting rules, the PDF output, and scheduled email delivery against a real month of data.
-
03
Validate and hand over
Ran it alongside the manual process for a cycle, matched the numbers line for line, then switched it on and trained the team.
Results
Outcomes at a glance.
- One workflow automated
- Fixed price
- Delivered in weeks
The monthly operations report used to eat a full day — same spreadsheets, same scramble, and if the one person who knew how it all fit together was out, the report was out. Now it builds itself on the first of the month: same format, on time, every time, and nobody's texting anyone on vacation. When the next report is worth automating, we know exactly how we'll do it.
- Removed a full day of manual work from every month
- Made the report consistent and on time, every time
- Ended the key-person risk around one critical report
- Left room to automate the next report the same way, when it's worth it
Impact & outcome
A small build that paid for itself quickly.
We delivered one focused tool that took a recurring, manual report off the team's plate — same numbers, cleaner format, sent on time without anyone touching a spreadsheet.
Not every problem needs a platform. A tightly scoped build that removes one painful, repeated task is often the fastest return a small business can get from custom software.
The first run caught a rounding mismatch the manual version had been quietly carrying for months — the kind of thing that only surfaces once a process is written down.
