Internal tools

Systems that fit how you work.

Your team knows the process. Your software should too.

Trade scattered spreadsheets, repeat data entry and half-connected apps for one tool shaped around the way work actually gets done.

The hidden cost of making do

You bend to the software. Your business pays for it.

Spreadsheets fill the gaps. Software subscriptions pile up. Fragile connections and workarounds hold the whole process together — until something changes.

Your team copies data, checks which numbers are right and fixes the same problems again. Every hour comes out of payroll. Every delay and repeat task takes another bite out of your margin.

Custom software starts with how your business needs to run. We build around that process, connect what still works and take the manual patchwork off your team's plate.

Small inefficiencies. A real annual bill.

55%

Reported repairs taking more than one business day. 1

A field changes. A sync stops. Your team drops what it's doing to trace the problem and repair the data. In a survey of 543 data professionals, 55% reported that repairing pipelines after source-system changes took more than one business day.

$3,000

Spent each month on rarely or never-used software. 2

You pay for the apps. Then you pay your team to bridge the gaps. In Intuit's 2024 survey of U.S. businesses with 10–99 employees, respondents reported $3,000 a month spent on rarely or never-used software — and 25 hours a week per business on manual data entry or reconciling data across apps.

$4.86

Estimated cost per manual HR data entry. 3

Every repeated task has a labor cost. EY's 2025 research estimated an average cost of $4.86 each time an HR professional manually enters data. Multiply small tasks across your team, every working day, and routine admin becomes a recurring bill.

4.9 hours

A week workers felt they could get back 4

In Asana's 2023 survey of 9,615 knowledge workers, respondents estimated better processes could save this much time each week.

46%

Of SaaS licenses unused or underused 5

Zylo reports this level of license waste in its 2026 enterprise SaaS research. A reminder to check what your subscriptions actually earn their keep doing.

$57,600

A year tied up in manual work 6

An example: 10 people × 3 hours a week × $40 in hourly employment cost × 48 working weeks. That's 1,440 hours of staff time, before subscription costs.

These figures describe process and software inefficiency, not guaranteed savings from custom software. Time freed up creates capacity; cash savings depend on what costs you actually remove, less the cost of building and running the solution.

Sources & calculation

  1. 1.Dimensional Research / Fivetran — Pipeline repairs (2021)

Dimensional Research — Data Engineers: Ready to Deliver More Business Value, Yet Mired in Manual Tasks (March 2021), p. 17. Fivetran sponsored this survey of 543 data professionals at medium-sized and enterprise companies across five continents. Of respondents, 55% reported that repairs after source-system changes, such as API versions or database columns, typically took longer than one business day. This is a self-reported repair-time finding, not a small-business average or evidence that custom software prevents failures.

  2. 2.Intuit QuickBooks — Business Solutions Survey (2024)

Intuit QuickBooks — Business Solutions Survey (2024). An August 2024 survey of 630 U.S. owners and executives at businesses with 10–99 employees. Respondents reported $3,000 per month spent on rarely or never-used software and 25 hours per week per business on manual data entry or reconciliation across apps. These are self-reported figures; the report describes its averages as weighted medians. They are not measured savings from custom software.

  3. 3.EY / Paycom — Manual HR costs (2025)

EY — 2025 research on the costs of manual HR tasks, summarized by Paycom (October 15, 2025). The $4.86 figure estimates the average labor and nonlabor cost per manual HR data entry by an HR professional. It applies to the HR activities studied, not all business data entry, and does not predict savings from custom software. EY updates its estimates using additional surveys and inflation factors. This finding is separate from the $57,600 illustrative staff-time calculation below.

  1. 4.Asana — Anatomy of Work Global Index (2023)

Asana — Anatomy of Work Global Index (2023). GWI surveyed 9,615 knowledge workers across six countries in November 2022. The 4.9 hours per week is respondents' estimate of time that better processes could save, not a measured result from implementing custom software.

  2. 5.Zylo — SaaS license utilization (2026)

Zylo — Tracking Employee SaaS Usage Uncovers Significant Underutilization, updated March 19, 2026, citing its 2026 SaaS Management Index. Zylo reports 54% license utilization, leaving 46% unused or underused. This enterprise benchmark is not a small-business average or the percentage of subscription spending that can necessarily be eliminated.

  3. 6.CYBERCUBE — Illustrative calculation

CYBERCUBE illustrative calculation: 10 employees × 3 hours per week × 48 working weeks = 1,440 hours; at an assumed $40 per hour in employment cost, that equals $57,600 annually. These are example inputs, not survey findings. This values staff time and does not predict cash savings or return on investment.

Built for the people using it

The software bends to you. Your team keeps the upside.

For a small or medium-sized business, custom internal software is not a luxury — it is how you stop paying people to fight the tools.

We shape screens, approvals and data around the work your team already does well. Less copying between apps, less waiting on updates, more capacity for customers, delivery and the decisions only your people can make.

You start with the bottleneck that hurts most, ship something the team can use every day, and grow the system as the business changes — without buying another subscription that almost fits.

Focused improvements. Compounding value for SMBs.

1×

Enter it once. Everyone works from the same truth.

Customer, job and order details live in one place and flow to scheduling, billing and reporting — so your team stops re-keying the same facts into three different apps.

Right-sized

One tool for the workflow, not a stack of almost-fits.

Keep specialized software where it still earns its keep. Replace the spreadsheets and bridge apps with a system built for how your team actually runs the operation.

Hours

Back for work that pays for itself.

Automate repeat entry, status checks and routine follow-ups so skilled people spend more time with customers, jobs in progress and the exceptions that need judgment.

Clear path

Approvals and hand-offs without the chase.

Route requests to the right person, show what is waiting and what changed — so nothing stalls in inboxes while someone asks around for the latest version.

One view

See the business without building another report.

Open a dashboard shaped around the numbers and statuses you already track — jobs, margin, inventory or pipeline — instead of assembling them from exports every Monday.

You own it

Grow the system when the business grows.

Add a location, a product line or a new approval step on your timeline. You hold the code and the roadmap — not a vendor's generic feature list.

These are the kinds of gains SMB teams pursue with custom software — not guaranteed outcomes. What you recover in time, errors avoided and subscriptions retired depends on scope, adoption and what you choose to build first.
